Technology drove the interaction between delegates at the Vibrant Gujarat Global Summit. Shekhar Niyogi reports
The Vibrant Gujarat (VG) Global Summit, a biennial mega-event, was staged for the 9th time in Gandhinagar with 6000 delegates in the Mahatma Mandir Convention Centre. The Summit, initially conceptualised by the Indian Prime Minister, Narendra Modi, then Chief Minister of Gujarat, is meant to serve as a platform for global socio-economic development, paving way for entrepreneurs and industrialists across India to expand their horizons.
The three-day affair began with the inaugural ceremony headed by Mr Modi, followed by multiple seminars, the VG Trade Show, country meetings and B2B meetings.
The 9th edition’s major focus was on B2B and B2G networking for progress and Hubilo was entrusted to power multiple tech solutions at the event. Hubilo’s journey with the Vibrant Gujarat Global Summit 2019 began with additions to the existing app in 2017 when Hubilo revamped the entire event app within a week with features such as an event chatbot, event feed, gallery, etc.
Thereafter, the organisers of the summit decided to hand over multiple tech solutions to the provider including the official event app and networking platform, ticketing and registration software, additions to the official event website as well as the check-in process.
The Summit had attendees ranging from government officials, international delegations, industrialists, media professionals to entrepreneurs and students from across the globe. People belonging to all sectors of business from pharmaceuticals to fashion were present at the event in order to look into B2B opportunities of expansion.
Hubilo, along with the Industrial Extension Bureau (IndexTB), provided the onsite check-in solution which helped the organizers maintain event security on the day of the event. The process of cross-checking access of pre-registered participants by scanning QR codes provided on their attendee badges helped avoid unauthorised entry, especially during the inaugural session which was attended by high level government officials and industrialists across the world.
“It’s a well-organised event ready to cater to the footfall it expected and even more, which is commendable given the fact that many events fail to do so.” said Raghunath Banerjee, a New Delhi based event planner and meeting specialist. “Despite the crowd, my entry into the venue was hassle-free. It did not take too long at all for the security check and the scanning system is particularly nice.”
Hubilo had also facilitated an online networking platform in the form of a web community interlinked to the official Vibrant Gujarat web site as well as an inbuilt feature of the Vibrant Gujarat official event app with features including event schedule, speakers, seminar details, etc. Attendees could discover fellow attendee profiles through the app and interact with them through the ‘chat’ feature. These attendee profiles could then be filtered on the basis of ‘industry,’ ‘designation,’ ‘organization’ or ‘country.’
They could also directly request the business cards of participants who they thought could provide a fruitful business network. But the main feature which was truly appreciated by the attendees was the ‘meet’ feature whereby attendees could set up B2B meetings with those attendees they are interested in meeting.
They could send meeting requests to attendees with whom they wished to set up a meeting, mentioning their meeting agenda and, if the attendee accepted their request, the meeting was automatically set up. They were allotted specific 15 minute time slots for meetings along with a text reminder prior to the meeting. The venue had a dedicated space allotted for attendees to carry on with these meetings.
Attendees received an SMS alert on their phones with their allotted table. They were simply required to arrive during their time slot and carry on with their meetings. In total 2300 B2B meetings were carried out over the three-day period, all set using the online platform provided to the attendees for networking.
Rajkumar Beniwal, managing director of IndexTB, one of the main organisers, said: “From event registrations and check-in to the app, Vibrant Gujarat Global Summit 2019 was entirely tech-driven this year which helped us carry out processes smoothly. The B2B networking platform, in particular, was loved by the attendees and contributed significantly towards generating attendee ROI at the event.”
